Open the patient's record and click “Payment” (top, next to “Edit”).
Check “Amount collected” — the app suggests it for you.
Choose the method: “Cash”, “Card”, “Transfer”, “Other method” or “Mixed”.
Check “Data” (Date) and the “What they pay for” list.
Click “Record the payment”, then “Print the receipt” or “Close”.
More
The suggested amount is everything done and not yet paid; for a patient on a payment plan, it is the oldest installment. “Data” (Date) is the day the money came in, not the day you type it: enter yesterday's payment with yesterday's date, or the day close and the cash sheet will not match the drawer.
After saving, the “Payment recorded” window shows “Paid now”, what the payment covered (“Covers”), what went to advance, and “Balance to pay”.
The same window also opens from:
Payments → “Payment without appointment” (find the patient in “Search”);
the “Datorii” (Debts) tab → “Collect payment” on an installment's row;
the record, “Payments” tab: “Record a payment” under “Istoric achitări” (Payment history), or “Collect” on a work item's row under “Servicii prestate” (Services rendered).
The “Medic” (Doctor), “Serviciu” (Service) and “Note” fields are optional; the chosen doctor counts in per-doctor reports and commissions.
In the “La recepție — de achitat” (To pay at reception) list, click the patient's name.
Check the amount and method, then click “Record the payment”.
More
The list shows patients with completed, still unpaid procedures, most recently finished first, with the work done and the amount due. The first eight are shown. The list appears only if you have the “Înregistrează încasări” (Record payments) permission and there is something to collect.
Right after taking payment, click “Print the receipt”.
Later: Payments → “Ziua” (Day) tab, search in “Search patient or receipt no.…”.
Click “Receipt” on the payment's row.
More
From the patient's record: “Payments” tab → “Istoric achitări” (Payment history) → “Receipt” on the row. A paid installment has its own “Receipt” button in the payment plan.
The receipt carries its number (the “Receipt” column in the list), what was paid for, and how much the patient still owes. If nothing opens, allow pop-ups for the app.
In “New payment”, scroll down to “What they pay for”.
Enter the amount on each debt the patient is paying — or click “Select all”.
Click “Use …” to move the ticked amount into “Amount collected”.
Or enter the amount and click “Allocate automatically” — it is spread starting with the oldest debt.
More
“What they pay for” lists installments from payment plans and completed unpaid procedures, oldest first. The app spreads the amount by itself until you change something by hand. The bar at the top shows “Alocat … din …” (Allocated … of …).
An installment marked “🔒 paid after …” is locked: a plan's installments are paid in order.
Anything above the debts shows as “surplus → advance” and stays on the patient's account.
If “The list below is incomplete” appears, the installments or procedures did not load: do not save until you reopen the window.
Fill in “Cash”, “Card” and, if needed, “Transfer”.
Check that it says “✓ Părțile acoperă încasarea” (The parts cover the payment).
Click “Record the payment”.
More
If it says “Mai sunt de repartizat” (Still to allocate) or “Părțile depășesc încasarea” (The parts exceed the payment), correct the amounts. A mixed payment has at least two methods with an amount.
Why it matters: the day close counts only the cash part in the drawer. A mixed payment entered entirely as cash would expect money in the drawer that actually came in by card.
Under “Planuri de plată” (Payment plans), find the installment marked “IN QUEUE”.
Click “Collect” on its row.
Check the amount and click “Record the payment”.
More
An installment that comes after an unpaid one cannot be collected until the earlier one is paid. Overdue installments can also be collected from Payments → “Datorii” (Debts) → “Collect payment”.
In “New payment”, find the “Folosește din avans (disponibil …)” (Use from advance (available …)) field.
Enter how much to take from the advance.
Check “What they pay for” and click “Record the payment”.
More
The field appears only when the patient has an advance. The amount from the advance is added to what they pay now and clears the allocated debts. The advance is shown in the record, “Payments” tab, on the “Avans” (Advance) tile.
Type the name directly in the “Nume” (Name) field.
Fill in “Amount collected”, the method and “Serviciu” (Service).
Click “Record the payment”.
More
For someone who comes only once, for example for a consultation. If the patient has a record, find them in “Search” (name or phone) so the payment clears their debts.
In Payments, “Ziua” (Day) tab, choose “Azi” (Today) and click “Close the day”.
Count the cash in the drawer.
Enter the amount in “How much is physically in the drawer?”.
If there is a difference, fill in “Explanation of the difference”.
Click “Close the day” (or “Close with a difference”).
More
The “Day close” window shows “Recorded in the app” by method. Count only the cash — card and transfer do not go through the drawer. The app says “The cash matches”, “Cash surplus” or “Cash shortage”.
After closing, the button becomes “Închisă” (Closed) or “Închisă · +/− amount”. A day can be recounted: a new close replaces the previous one.
In Payments, “Ziua” (Day) tab, choose the day (“Azi” (Today), “Ieri” (Yesterday) or “Interval” (Range)).
Click “Cash sheet”.
More
It prints the day's report by operator, with all of that day's payments, regardless of the filters on screen. If the chosen period spans several days, the sheet is for today.
Enter the “Reason for the reversal”, for example “double payment”.
Click “Reverse”.
More
A payment is not deleted, it is reversed: a negative entry appears next to it, and both stay in the history, with who did it and why. Procedures and installments paid from that amount become unpaid again, and any advance used goes back to the patient. The original row gets the “stornat” (reversed) label, the new one “stornare” (reversal).
Reversed by mistake? Click “Restore” on the row marked “stornat” (in Payments or in the record, under “Istoric achitări”): the payment comes back exactly as it was.
In Payments, “Ziua” (Day) tab, choose the period: “Azi” (Today), “Ieri” (Yesterday), “Săptămâna” (Week), “Luna” (Month), “Anul” (Year), “Tot” (All) or “Interval” (Range).
Type the name or receipt number in “Search patient or receipt no.…”.
If needed, filter by doctor (“All doctors”) or service (“All services”).
More
For “Interval”, choose “From” and “up to”. “Reset” clears the filters. The “Operațiuni” (Operations) list also shows reversals; with many rows, “Loads the following” brings in the rest.
Above the list, the “Numerar” (Cash), “Card”, “Transfer” tiles give the period's totals. When the period spans several days, a “By day” table also appears: how much came in each day, by method.
A doctor without the right to see every doctor's finances sees the payments for their own work; if they see only their own patients, they also see only the payments with no doctor for their own patients — not those of other doctors' patients.
In Payments, “Ziua” (Day) tab, choose the period and filters.
Click “CSV” next to the “Operațiuni” (Operations) heading.
More
The file opens in Excel and contains all of the period's payments with the chosen filters, reversals included, with a TOTAL row. For the list by operator and by guide, see also Reports → Casa (Cash desk).
Top: “Overdue debts” — installments past their due date.
Bottom: “Completed unpaid procedures”.
Search in “Search patient or phone…”.
More
“Overdue debts” shows the phone, the overdue amount, “Delay” in days and “Last call”. The header says how many installments are overdue and how many have not been contacted.
“Completed unpaid procedures” — work done for which no money came in. Patients on a payment plan are followed through the plan, not here.
In the “Datorii” (Debts) tab, click “I called” (or “Called again”) on the installment's row.
Under “How did the conversation go?”, choose the outcome.
Under “When do we follow up?”, choose “mâine” (tomorrow), “în 3 zile” (in 3 days), “într-o săptămână” (in a week), “în 2 săptămâni” (in 2 weeks) or a date.
Click “Save the call”.
More
Outcomes: “A promis că plătește” (Promised to pay), “A cerut amânare” (Asked for a delay), “Nu a răspuns” (Did not answer), “Refuză să plătească” (Refuses to pay). “Details (optional)” keeps what was said. Leave the date empty if no follow-up is needed.
On the set day, the row is highlighted as due for a call. The window also shows “Previous calls”, so whoever picks up the phone knows what was said.
The value of all completed work, read from the record's procedures (not appointment prices).
“Încasat” (Collected)
How much the patient has paid in total, reversals deducted.
“Rest de plată” (Balance due)
What is still to pay: from payment plan installments or on completed work.
“Plan de tratament” (Treatment plan)
The cost of the accepted plan, including what has not been done yet.
“Avans” (Advance)
Money paid in excess, waiting to clear a debt.
Below the tiles, the “Unpaid installments” box (red when an installment is past due) and the “Services rendered, unpaid” box show what the balance is made of.
In the record, “Payments” tab, scroll down to “Istoric achitări” (Payment history) or “Servicii prestate” (Services rendered).
Click the group (for example Orthodontics) in the row above the list.
Read the total at the bottom; “Toate” (All) returns to the full list.
More
Each button shows how many rows the group has and their sum. The row appears only when the patient has services from at least two groups. The group is the service's category in the clinic's catalog.
In the record, “Payments” tab, click the “Avans” (Advance) tile.
Under “Correction”, enter “Amount” (a negative amount reduces the advance).
Enter “Motiv” (Reason), for example “refunded in cash”.
Click “Save the correction”.
More
The window also shows where each amount in the advance came from. The reason stays in the history. A correction needs the “Înregistrează încasări” (Record payments) permission.
In the record, “Treatment” tab, click “% Discount” next to the plan.
Enter “Discount (%)”.
Click “Apply the discount”.
More
The discount is applied to the procedure prices, not as a separate line. No procedure drops below what has already been paid on it — the “Discount applied” window lists those “Stopped at the amount already paid”.
This is for rent, utilities, wages paid from the cash desk — so that the profit in Economy and on the dashboard is correct. Purchased materials are not entered here: they are counted from stock receipts.
Expenses that repeat monthly (rent, accounting) are entered once as “Monthly fixed expenses” — see Economy → Budget.
Or click the bin and confirm with “Delete expense”.
More
A deleted expense leaves profit and loss, the budget and the month's payment calendar. It can be restored from Journal → Deleted. “CSV” downloads the month's expenses for Excel.
Fill in “Lock payments before” — or “OR editable for X days only”.
Click “Save the block”.
More
Nothing dated before the chosen day (or older than that many days) can be changed any more: payments and reversals, day closes, expenses, supplier invoices. New payments, dated today, are still allowed.
Anyone with the “Modifică perioade financiare închise” (Modify closed financial periods) permission bypasses the lock. Everyone else gets a message that the period is closed.
