Reports

The clinic's figures over a period — appointments, payments, doctors, team, services, debts — ready to export, plus your own indicator panel.

For: managers · Requires the „Vede rapoarte” permission · The module must be switched on for the clinic

Overview

How to see how this month went compared with last month

  1. Open Reports → “Privire generală” (Overview).
  2. Choose “30 zile” (30 days) (or “Azi” (Today), “7 zile” (7 days), “90 zile” (90 days)).
  3. Read the figures at the top; the arrow shows how much they changed from the previous period.
More

For other dates: “Period…”, choose “From” and “Until”, then “Show”. Each figure is compared with the previous period of the same length.

  • “Prestat” (Performed) — the value of completed work, with the average per item;
  • “Collected” — money actually received;
  • “Appointments”, with how many were completed;
  • “No-shows”, as a percentage (here, down is good);
  • “Occupancy rate” — from hours worked;
  • “Estimate conversion” — how many proposed treatment plans were accepted, and for what value;
  • “New patients” — records opened.

Further down: “Appointments by day of the week”, “Distribution of statuses”, the occupancy map by hour and day (darker = busier), “No-shows by day of the week”, “Patients on record”, “Return rate”, “New patients — last 6 months” and “Top patients by value”.

If a warning says some completed appointments have no price, those are left out of “Prestat” (Performed). Fill in the prices in Settings → Services.

How to export the overview

  1. Choose the period in “Privire generală” (Overview).
  2. Click “Excel” or “PDF”.
More

“Excel” downloads the period's figures; “PDF” opens a page to print or save. If the PDF does not open, allow pop-ups for the app.

Table reports

How to run a report for a period

  1. Open the report's tab (from “Recepția” (Reception) to “Materiale” (Materials)).
  2. Choose “From” and “Until”.
  3. Read the table and the TOTAL row.
  4. Click “CSV” to open it in Excel.
More

By default, the period is the current month up to today. The TOTAL row adds up only the columns that can be added — averages and percentages are not. A patient's name links to their record.

How to see who owes money and for how long

  1. Open Reports → “Datorii” (Debts).
  2. Read the tiles at the top: “0–30 days”, “31–60 days”, “61–90 days”, “Over 90 days” and “Total to collect”.
  3. In the table, look for patients with amounts in the older columns.
  4. Click “CSV” for the list.
More

Age is counted from the day the work was completed. Each tile shows the amount and its share of the total; the four together add up exactly to “Total to collect” for the whole clinic — even when the table below is cut to the first rows.

Per patient, the table shows: the phone, the doctor, how many procedures, “The oldest”, the amount in each age group and “To be collected”. The tab has no period: it is the situation right now.

How to see what each receptionist and each assistant did

  1. Open Reports → “Echipă” (Team).
  2. Choose “From” and “Until”; under “Role”, choose the role or “All roles”.
  3. Click a column header to sort by it.
  4. Click a person's name to see their details.
  5. Click “CSV” for Excel.
More

The columns, by group:

  • “Reception — appointments”: “Created”, “Confirmed”, “Rescheduled”, “Cancelled”, “No-shows” (among the appointments that person created);
  • “Reception — payments”: “Payments”, “Amount collected”, “Day closes”, “Overdue calls”;
  • “Assistants — clinical work”: “Visits assisted”, “Materials consumed”, “Materials delivered”;
  • “Assistants — sterilization”: “Sterilization cycles”, “Kits sterilized”.

Hover over a column header to see what it counts. Only what was done from a clinic account is counted: portal bookings, imports and breaks belong to nobody; reversed payments are left out.

A name with “*” comes from stock movements, which carry the typed name, not the account — a name shared by two people stays on a separate row.

How to see why appointments are lost

  1. Open Reports → “Recepția” (Reception).
  2. Choose the period.
  3. Scroll down to “Cancellations, by reason” and “No-shows, by reason”.
More

Above them, the table shows every appointment: date, time, patient, phone, doctor, service, status and price.

How to calculate doctors' percentage-based pay

  1. Open Reports → “Salarii” (Wages).
  2. Choose the period (usually last month).
  3. Read “Salariu” (Pay) for each doctor and click “CSV”.
More

“Salaries on collections” shows, per doctor: “Sessions”, “Payments”, “Collected”, the percentage and “Salariu” (Pay). Percentages are set in Settings → Money → Commissions. Fixed salaries from the timesheet are in Economy → Staff.

What the other reports show

  1. Open the tab and choose the period.
  2. Read the table; each tab's details are below.
More
  • “Casa” (Cash desk) — every payment: date, patient, doctor, “Ghid” (Guide — who referred them), service, method, operator and amount. This is the list the accountant checks.
  • “Medici” (Doctors) — per doctor: appointments, completed, no-shows, collected and “Occupancy (%)”.
  • “Servicii” (Services) — each service, “Services rendered” and “Valoare” (Value).
  • “Pacienți” (Patients) — every procedure: date, category, doctor, patient, registration date, source, “List price”, “Discount (%)”, “Service price”, what was paid and the debt.
  • “Performanță” (Performance) — per doctor: patients, visits, completed, no-shows, collected, “Average/visit”, “Hours worked” and what they bring in per hour, in the clinic's currency (for example “MDL/hour”).
  • “Ghizi” (Guides) — each guide or source, “Patients brought in” and “Collected from them”.
  • “Servicii/medic” (Services/doctor) — each doctor–service pair, with count and value.
  • “Materiale” (Materials) — per service: “Works”, “Average cost”, “Average price”, “Margin %” and “Total cost” of materials.
  • “Imagistică” (Imaging) — the period's studies (only if the clinic has the module and you have access to imaging).

My panel

How to build your own indicator panel

  1. Open Reports → “Panoul meu” (My panel).
  2. Start from a ready-made panel — “Reception”, “Director”, “Accounting”, “Doctor”, “HR”, “Administration” — or click “Add indicator”.
  3. In “Search for an indicator…”, search and choose.
  4. On each tile, choose the period, the doctor and the chart type.
  5. Move tiles with “Move left” / “Move right”.
More

The panel saves automatically and is yours alone. Click a tile's figure to see the list behind it.

  • A tile removed by mistake comes back with “Put back”.
  • After choosing a ready-made panel, “Revert to how it was” undoes the change.
  • “Clear” removes all tiles, after confirmation.

How to change the period of all tiles at once

  1. In “Panoul meu” (My panel), find “All tiles:”.
  2. Choose “Today”, “Last 7 days”, “Current month” or “Last 30 days”.
More

The row appears when you have more than one tile. If the tiles have different periods, it says “mixed periods”.

Medical registers

Where to find the official forms

  1. Open Reports → “Registre medicale” (Medical registers).
  2. Choose the form.
  3. Choose the period and print or save as PDF.
More

The forms: “Fișa 043/e” (dental patient record), “Darea de seamă 039-1/e” (report 039-1/e), “Registrul 069/e”, “Registrul 074/e”, “Fișa de programare 040/e”, “Lista zilnică 037/e” (daily list 037/e). What appears depends on the clinic's country and your permissions.

A patient's Form 043/e is generated from their record at a completed visit; here you see the register of generated forms.
