DentFlow Guide Demo account

Economy

The month's profit, cash flow, prices and the clinic's budget, calculated from what is already recorded in the app.

For: managers · Requires the „Vede secțiunea financiară” permission · The module must be switched on for the clinic

Now

How to read the “Dashboard”

  1. Open Economy — it opens on “Now” → “Dashboard”.
  2. Read the score (out of 100) and the alerts below it.
  3. Read the month's figures: “Net profit”, “Direct costs”, “Cheltuieli” (Expenses), “To collect”.
  4. Scroll down to “Cash — the next … days” and “Capacity utilization”.
More
  • Alerts: negative profit, more payments out than in over the coming days, services sold below cost, large patient debts. They repeat above every other section.
  • “Estimated profit” for next month — “(from plan)” if you have written a plan, otherwise “(from trend)”.
  • The month's figures: “Collected” (or “Prestat” (Performed), depending on the formula), “Net profit”, “Direct costs” (materials, lab, commissions), “Cheltuieli” (Expenses) (one-off and monthly fixed), “To collect” (completed, unpaid work).
  • “Cash — the next … days”: “Inflows”, “Outflows” and “Projected balance”, from what is already scheduled.
  • “Capacity utilization”: how much of the doctors' working hours is booked and how much one worked hour brings in.

The figures come from payments, expenses, stock receipts, the lab and the timesheet — nothing is entered twice.

How to choose the month

  1. Top right, click the “Previous month” or “Next month” arrow.
More

You cannot go past the current month. “Balance” has no month: it shows the position as of today.

The sections are in four groups: “Now”, “Results”, “Planning”, “Setup”. Click the group, then the section in the row below.

How to see what I have to pay and collect in the coming days

  1. Open “Now” → “Payment calendar”.
  2. Read, day by day, what comes in and what goes out.
More

The calendar shows, over the horizon chosen in “Formulas” (30–90 days): installments due from patients, unpaid supplier invoices and lab work, and fixed expenses. Due dates already past are shown on today's date, not in the past.

How to read “Health”

  1. Open “Now” → “Health”.
  2. Read the verdict: “Sănătoasă” (Healthy), “Atenție” (Caution) or “Risc” (Risk).
  3. Read the five tiles and the “What would move the needle most” card.
More

The tiles: “Încasat” (Collected), “Profit net” (Net profit), “Datorii pacienți” (Patient debts), “Cec mediu” (Average ticket) and “Risc gol de casă” (Cash gap risk). If a service that sells has a margin below the threshold, the card names it and says how much more it would have brought in at the threshold margin.

How to read “Cash flow”

  1. Open “Now” → “Cash flow”.
  2. Hover over a month to see the figures.
More

Twelve months, two bars each: what came in and what went out (expenses, fixed costs, interest, materials, lab, commissions). “CSV” downloads the table.

Results

How to see the month's profit

  1. Open “Results” → “Monthly profit”.
  2. Choose the month with the arrows at the top.
  3. Read the table down to “Profit net” (Net profit).
More

The lines: revenue, “Materiale cumpărate” (Materials purchased), “Laborator” (Lab), “Comisioane medici” (Doctor commissions), “Cheltuieli punctuale” (One-off expenses), “Cheltuieli fixe lunare” (Monthly fixed expenses), wages from the timesheet, loan interest, then “Profit net” (Net profit). With a tax set in “Formulas”, “Estimated tax” and “Profit after tax” follow.

Below the table is the month's other figure: if you count on payments received, how much was performed; if you count on work performed, how much was collected. The difference is work paid for in another month, not a loss.

How to export the month for the accountant

  1. Choose the month.
  2. Click “CSV” (top) for Excel, or “PDF” for printing.
More

Both contain the month's profit and loss, line by line. Many sections also have their own “CSV” for their table. If the PDF does not open, allow pop-ups for the app.

How to close the month

  1. Open “Results” → “Monthly profit” and choose the month.
  2. Click “Close the month”.
  3. Confirm with “Close the month”.
More

The month's figures are kept as they are, and its records can no longer be changed — a payment entered today with last month's date no longer changes them. Below the table, “🔒 The month has been closed since …” appears.

“Reopen the month” brings back the calculated figures and allows editing again. If the month has already been handed over, the accountant's figures and yours may drift apart.

How to see how much each doctor brings in

  1. Open “Results” → “Per doctor”.
  2. Read, per doctor: “Collected”, the percentage, “Comision” (Commission) and “Remains with the clinic”.
More

A doctor with no percentage set costs nothing here. Percentages are set in Settings → Money → Commissions.

How to see the cost of the team

  1. Open “Results” → “Staff”.
  2. Read “Fixed salaries” and “Doctor commissions”.
More

“Fixed salaries” come from the timesheet (base pay and bonuses); commissions come from payments. Both are deducted from the month's profit. Fixed salaries need the Human resources module, turned on in Settings → Personalization → Modules.

For what each receptionist and each assistant did, see Reports → Echipă (Team).

How to find out whether advertising pays off

  1. Open “Results” → “Marketing”.
  2. If you paid for advertising outside the books, enter the amount in “În plus, netrecut prin registru” (Extra, not in the books).
  3. Read “CAC · cost per new patient”, “Estimated ROI in the month” and “LTV : CAC ratio”.
More

“Din cheltuielile lunii” (From the month's expenses) adds up the expenses in the “Marketing” category. The amount typed by hand is saved when you leave the field.

“Patient value (LTV)” covers the whole history: how much a patient brings in on average and how many times they return. An “LTV : CAC ratio” below 1× means you pay more for a new patient than they bring in.

The calculation needs marketing expenses and at least one new patient in the month.

How to read the balance sheet

  1. Open “Results” → “Balance”.
  2. Enter the amount in “Cash and account”.
  3. Add loans with “Add credit” and other debts with “Add liability”.
  4. Click “Save”.
  5. Read “Equity” = assets − liabilities.
More
  • “Assets”: cash and account (entered by hand), “To collect from patients”, “Stock value”, “Fixed assets” at net value;
  • “Liabilities”: “Supplier invoices” and “Laboratory” (read from the app) and the debts added by hand.

For a loan, fill in “Borrowed”, “Interest %/year” and “First instalment”: only the interest goes into profit, not the capital repaid.

Planning

How to enter rent and other monthly costs

  1. Open “Planning” → “Budget”.
  2. Under “Monthly fixed expenses”, enter “Name (e.g. Rent)”.
  3. Choose the category, enter “Monthly amount” and “Payment day”.
  4. Click “Add”.
More

They are entered once and count in every month: rent, utilities, accounting.

An expense that is no longer paid is stopped (“Stop — no longer counted”), not deleted: deleting removes it from every month, including those already reported. “Restart” brings it back.

One-off expenses are entered in Payments — see How to record an expense.

How to set a limit on an expense category

  1. Open “Planning” → “Budget”.
  2. Under “Budget limits”, enter the amount in the category's “limit” field.
  3. Leave the field — the limit is saved.
More

The bar shows how much has been used and turns red when the limit is exceeded (“⚠ exceeded by …”). At the top: “Total monthly budget”, “Spent in the month” and “Exceeded categories”. “Operating expenses, by category” shows the month's one-off expenses.

How to compare plan with actual

  1. Open “Planning” → “Plan/Actual”.
  2. Enter the month's target in the “Plan” column, on each line.
  3. Compare with “Realizat” (Actual) and “Difference”.
More

The lines: “Venituri” (Revenue), “Materiale” (Materials), “Laborator” (Lab), “Comisioane medici” (Doctor commissions), “Cheltuieli” (Expenses). Green is good: revenue above plan, expenses below plan. Planned profit appears only when all five lines have a target.

Also here: “Annual profit target” and “Annual target progress” — how much has been made so far this year and whether the pace is enough (“on the chart” or “below pace”).

How much I need to collect to avoid working at a loss

  1. Open “Planning” → “Break-even”.
  2. Read “Monthly revenue threshold” and “Distance from break-even”.
More

The threshold is how much has to come in during a month to cover fixed costs, at the share of direct costs in the month shown. The chair hours needed are shown too. If the month has no payments, or direct costs exceed payments, the threshold cannot be calculated — the screen says why.

How to check whether prices cover costs

  1. Open “Planning” → “Prices”.
  2. Look for services marked “BELOW COST”.
  3. Read the “To reprice” card.
More

For each active service: the real cost — materials from the technical sheet, the doctors' average commission and its share of fixed costs (“Regie” (Overhead)) — against the price, with the margin. “To reprice” lists services sold with a margin below the threshold, ordered by how much that costs in a month, not by percentage.

What goes into the real cost and the margin thresholds are chosen in “Setup” → “Formulas”.

How to simulate a change

  1. Open “Planning” → “Simulator”.
  2. Move “Service price”, “Patient volume” or the other sliders.
  3. Compare “Simulated profit” with “Profit now”.
  4. “Reset” goes back to the real figures.
More

The sliders: “Service price”, “Patient volume”, “No-show reduction (recovered volume)”, “Additional fixed cost (e.g. a new hire)”.

“How much I need to reach a target profit”: enter “Target profit per month” and find out how many more patients or what price increase you need.

The simulator saves nothing.

Setup

How to add equipment so its depreciation counts in costs

  1. Open “Setup” → “Fixed assets”.
  2. Click “Add”.
  3. On the new row, fill in the name (“Dental unit, scanner…”), the value, the residual value, the useful life in months and the month of purchase.
  4. Click “Save”.
More

Depreciation is straight-line: (value − residual) divided by the useful life. Equipment that has reached the end of its life stays at its residual value and costs nothing more each month. The monthly depreciation and the remaining net value are shown at the top. The bin on a row removes the equipment from the list (then “Save”).

How to track equipment servicing

  1. In “Setup” → “Fixed assets”, under “Next service”, choose the date.
  2. Under “Every”, enter the interval in months.
  3. Click “Save”.
  4. After the service, click “Service done” on the row.
More

The bell announces the service 14 days ahead, a week ahead and on the day, to whoever can edit fixed assets. The notice leads straight to “Fixed assets”. A past date is marked “due”.

“Service done” moves the date forward by the interval, counted from today. The button appears only when the row has an interval, and stays inactive until you save the changes in the table.

How to choose how the figures are calculated

  1. Open “Setup” → “Formulas”.
  2. Choose a “Quick set”: “Conservator” (Conservative), “Standard” or “Agresiv” (Aggressive).
  3. Adjust what you need — everything saves immediately.
More
  • “Revenue — on what basis do we count it?” — “Actually collected” or “Performed (completed)”. It changes profit, margin and the year-to-date total in every section.
  • “The real cost of a service — what do we include?” — materials, the doctor's commission, overhead and how overhead is calculated.
  • “Payment calendar — how do we project it?” — the horizon (30, 45, 60 or 90 days), which future inflows count, and the show-up rate.
  • “Fixed costs” — the default day for fixed payments.
  • “Calculation basis” — “Current month” or “Average of the last 3 months”.
  • “Thresholds and average ticket” — where a margin counts as “good” or “ok”, the average ticket, and the estimated tax on profit.

“Reset” goes back to the defaults.

Why the “Data quality” message appears

  1. Mark finished appointments in the calendar.
  2. Record their payments in Payments.
More

The band appears when fewer than 80% of the month's appointments are marked completed, or fewer than 80% of those with a price are fully paid. It shows the percentages. The figures in Economy rely on these marks: keep them up to date and the figures become exact.
