Type your email in “Email” and your password in “Password”.
Click “Sign in”.
More
Each clinic has its own address, and one clinic's data can't be seen from another. What you see after signing in depends on the role your administrator gave you: doctors, assistants, front desk and accountants have different menus and buttons.
If the password is wrong, the card shakes briefly and the error message appears under the fields. What helps:
the eye icon in “Password” (“Show password”) shows what you typed;
with Caps Lock on, the field says “Caps Lock is on.”;
if the clinic has set a support phone or email, “Trouble signing in?” appears under the form, followed by it.
Open the code app on your phone (Google Authenticator or another).
Type the six digits in “Code from the authenticator app”.
Click “Verify”.
More
This only appears if you turned on two-step verification (how to turn it on). If you got the code wrong, type just the new code — you don't retype the password. “Back” takes you back to email and password.
At the bottom of the panel, next to your name, click the “Sign out” icon.
More
Always sign out on a computer shared by several colleagues: otherwise the next person works under your name, and the clinic's journal records their actions under your account. Signing out also clears the CBCT volumes the browser kept on that computer.
You can also sign out from the “Screen locked” screen (below).
Click “Continue working” — the screen returns exactly as you left it.
Or click “Sign out” if it isn't your computer.
More
After a few minutes with nobody touching the computer (20 by default), the app covers the screen: a patient at the front desk shouldn't be able to read the previous patient's record. Whatever you were typing in the fields stays.
No password is asked: the lock is a curtain, not a sign-out. It won't stop someone determined to see the data — for that, sign out when you leave.
The administrator chooses how many minutes pass before the lock, for the whole clinic: Settings → Account → Security → “Screen lock” → “Lock after (minutes)”; 0 turns it off.
your role has the right to open it (for example “Payments” requires the right to see takings);
the clinic uses the module (Inventory, Imaging, Chat, HR, Dental lab, Economy and Reports can be turned off for the whole clinic).
A number on an icon shows what is waiting for you (over nine it shows “9+”; it refreshes about once a minute):
Icon
What it counts
“Payments”
patients with work finished today and not paid
“Inventory”
materials below the minimum level
“Chat”
unread messages
“HR”
undecided leave requests and staff documents about to expire
“Dental lab”
lab work past its due date
“Waitlist” isn't in the menu: you open it from the Command Centre or from the strip on the Dashboard.
In the top bar, on the left, are the clinic's logo (or its initial), the page name and the clinic name. On the right: the “To collect” pill, “Command Centre” and the bell.
Press a letter: “d” Dashboard, “n” Calendar, “p” Patients, “i” Inventory, “c” Chat.
More
The letters don't work while you're typing in a field, or together with Ctrl, Alt or Cmd. They respect permissions: if you aren't allowed to open a screen, its key does nothing.
For keyboard-only users: the first Tab on a page shows “Skip to content”, which skips the menu and goes straight to the page.
Click the patient's name — their record opens on payments.
Or click “Collect” for the payment form.
More
The pill only appears if your role sees takings, and only when there is work finished today and not paid. It shows how many patients and the total.
The “Due today” list is grouped by patient, with their amount and the work (procedure, teeth, date). The most recently finished come first — usually the patient who just left the treatment room. It refreshes the moment a doctor marks a procedure as done.
“See all outstanding →” opens the debts in Payments. Debts from previous days don't appear in the pill: they are handled in Payments. The list closes with Esc, with the X or by clicking outside it.
Click a notification — it takes you to what it's about and marks it read.
“Mark all” marks them all read.
The X on a row (“Remove notification”) removes it from the list.
More
Notifications are grouped by category (Appointments, Stock, Dental lab, Imaging, HR…), with the newest category on top. The list refreshes every 20 seconds.
When a new notification arrives, a short message appears in the corner for a few seconds; clicking it takes you straight there.
Administrators can also get “Security” notifications — signs of unauthorized access (many wrong passwords, many records opened in an hour). Only people who can manage roles see them.
At the bottom, click “Sound on” so it becomes “Sound off” (and back).
For a daily break, click “Quiet hours” and choose the times.
More
Everything you choose here applies to this computer only.
“Quiet hours” — between “Quiet from” and “Quiet until” (20:00–08:00 by default) nothing sounds and nothing pops up on the desktop. The number on the bell and the list stay.
“Desktop alerts” — notifications also appear in the corner of the computer's screen when you're in another tab. The browser asks for permission once. If it says “Desktop alerts are blocked by the browser.”, unblock them in the browser's settings.
“Get notifications even when the tab is closed” — appears only if the clinic has browser notifications set up. When on, “Test” sends a test notification, and “Stop” turns them off on this computer.
The demo clinic sends no notification outside the app.
Read the numbers at the top and “Needs attention”.
Click “Close” (same button) to hide it.
More
It's the panel on the right where you quickly do things and see what needs attention now; navigation stays in the left menu.
It looks different for each job. The title names the version: “Doctor centre”, “Reception centre”, “Admin centre”, “Accounting centre”, “Assistant centre”, “HR centre” or “Command centre”. The version is chosen by the role's permissions, not its name — a role created by the clinic gets the centre of the job it most resembles.
The button picks the appointment itself: today's one closest to the current time, among those not yet arrived. If the line names a different patient from the one in front of you, correct the status in the Calendar. If there is nothing left to mark, it says “No appointment to mark today.”
Front desk, administrators and assistants with the right to edit appointments see it.
Read the line below: how many went out, or “No reminders to send now”.
More
N is the number of still-unconfirmed appointments on the clinic's next working day (on Friday evening, if Saturday is closed, that's Monday). Only people who can edit the clinic's settings see the button. If it says “Reminders could not be sent. Check the settings.”, check the clinic's notification settings.
When it's done, tick the box in front of it — it leaves the list.
To correct it, click the pencil (“Edit”), type and press Enter.
More
The list belongs to the clinic, not to you: what the front desk adds, the assistant sees too. It's the same as “To do” on the Dashboard (that's where tasks are deleted). Here you see the first eight open tasks. While correcting, Esc cancels.
Under “Doctors today”, click the circle with the doctor's initials.
Read the line below: “In consultation now”, how many appointments they have left and the time of the next one, or “Free today”.
More
The colored dot next to the circle shows the state at a glance: busy now, working today, free. The title says how many doctors are active and how many are in consultation. The section appears in the front desk and admin centres.
Under “Requests from portal”, click the request — the Calendar opens on its day.
More
For front desk and administrators: appointments patients requested from the portal that are awaiting confirmation. The full list is on Waitlist → “From the portal”.
Click “AI Assistant” at the bottom of the left menu.
Click a suggested question or type yours in the box at the bottom.
Press Enter.
More
Shift + Enter starts a new line without sending. While it works, it says “Thinking…”. “New conversation” starts from scratch; conversations are saved, reopen next time, and nobody else sees them.
The first line of the panel says exactly what the assistant reads for your role and what it can prepare.
What it can do:
helps you with the app — where something is and how it's done;
reads the clinic's data, if the clinic turned it on: appointments, patients and their records, takings and debts, stock, dashboard, reports — only what you can see yourself;
prepares an appointment, a task or an SMS, which you confirm.
When it answers from the clinic's data, “Fast”, “Balanced” and “Deep” appear above — how much it analyzes before answering. If the clinic set a daily limit, the bottom shows how many questions you've used (for example “3 of 60 today”).
People with the right to use the assistant see the button — on the system roles, the whole team. A second click on “AI Assistant” or the X closes the panel.
Read the card under the answer: patient, doctor, day, time, text.
Click “Confirm” if it's correct.
Or click “Discard”.
More
The assistant does nothing on its own. “Confirm” sends exactly the same request as the regular button in the Calendar or the record, with the same checks and the same trail in the journal. After confirming, the card says “Programarea a fost făcută.” (The appointment has been made.), “Sarcina a fost adăugată în listă.” (The task has been added to the list.) or “SMS-ul a fost trimis prin clinică.” (The SMS was sent through the clinic.); after discarding, “You dismissed the proposal.”
If your role can't do that action, the card says “Your role cannot perform this action.” instead of buttons. Warnings (an overlap, for example) appear on the card.
Under an answer about a patient, click “…'s files”.
Click a file — it opens in a new tab.
More
Depending on the case, the window has “Imaging studies”, “Images” and “Documents”; a study opens in the viewer. It only shows, it changes nothing. The button appears only if you're allowed to see the record or imaging. With nothing to show, it says “No files for this patient.”
Read the first line of the panel: “Answers about using the app; does not read the clinic's data.”
If you want an assistant that reads the clinic's data, tell your administrator.
More
Without the AI module (Settings → Personalization → Modules), or while the module isn't set up, the assistant answers only from the app's help, by the words of the question: it sends nothing to an artificial intelligence service, doesn't read the clinic's data, prepares nothing and doesn't keep the conversation.
On the demo clinic, a “demo” label appears next to the title: the assistant answers from the app's help and from the fictional data.
“The assistant is not available.” appears only when the panel couldn't learn the assistant's state — close it and open it again.
Under “Change password”, type your “Current password”.
Type the “New password” (at least 12 characters) and “Repeat the new password”.
Click “Change password”.
More
“✓ The password has been changed.” appears. The change closes all other sessions: on another computer or your phone you'll be asked for the password again.
Symbols and capitals aren't required — length is what makes a password hard to guess. A short sentence that's easy to remember makes a good password.
Open Settings → Account → My account → “Two-step authentication”.
Click “Activate” and scan the QR code with the app on your phone.
Type the six digits in “The code from the app” and click “Confirm”.
Write down the ten backup codes and click “I've noted them”.
More
Your account opens patient records. With two steps, someone who learns your password still can't get in: they also need your phone. From now on, every sign-in asks for the code too.
If you can't scan, use the key written after “Can't scan? Enter the key manually:”.
On the demo clinic two-step verification can't be turned on: its accounts are used by every visitor.
Open Settings → Account → My account → “My language”.
Choose from “The interface language”.
More
The change shows immediately and is saved to your account. “Same as the clinic” follows the clinic's default language. If the language you want is missing, the clinic hasn't turned it on — ask your administrator.
Under “Tema” (Theme), choose “Deschisă” (Light) or “Întunecată” (Dark).
Under “Screen shape”, choose “Cabinet” (Treatment room) for large text.
Under “The calendar style”, choose how appointments look.
More
One click applies it right away; nothing here reaches your colleagues. The choices are saved to your account, not the computer: a doctor moving to another treatment room finds the screen the way they left it.
“Tema” (Theme) — “Ca pe acest calculator” (Like this computer: the last choice made here, with the button in the Command Centre), “Deschisă” (Light), “Întunecată” (Dark).
“Screen shape” — “Ca în clinică” (Clinic default), “Standard”, “Cabinet” (Treatment room: larger text, clear borders, readable from a meter away with gloves on), “Studio” (flat and dense, fits more).
“The calendar style” — “Ca în clinică” (Clinic default), “Compact”, “Coloane egale” (Equal columns), “Lățime plină” (Full width).
“Ca în clinică” (Clinic default) follows what the clinic chose for everyone.
Open Settings → Account → My account → “My signature”.
Click “Draw the signature”.
Sign in the box with the mouse, your finger or a stylus.
Click “Confirm signature”.
More
Your signature is printed on digitally signed documents — Fișa 043/e (the dental patient record form), the estimate, certificates. Without it, the paper leaves the line blank and you sign by hand. “Draw again” replaces it.
Only you add your signature: one added by a colleague in someone else's name would be a forgery.
Move between weeks with the arrows; “This week” brings you back.
More
The page shows, day by day, working hours, lunch break, reserved slots and the shifts or on-call duties planned for you in HR (“Shift 08:00–14:00”, “On call …”). Leave days show “On leave”, days the clinic is closed show “The clinic is closed”.
It only shows; your schedule is changed by the administrator or whoever handles staff. If it says “Your account is not linked to a team member.”, ask your administrator to link your account to your entry in Team.
The list shows the browsers where your account is open (the current one marked “the current session”) and, under “Latest sign-ins”, recent attempts: successful, wrong password, wrong code, blocked. A closed session stops within 15 minutes.
Open Settings → Account → My account → “Two-step authentication”.
For new codes: type your password in “The password, for new codes” and click “Generate new codes”.
To turn it off: type your password in “The password, to disable it” and click “Deactivate”.
More
The card shows since when verification has been on and how many unused backup codes you have left. New codes replace all the old ones, including unused ones. If your role requires verification, the field for turning it off doesn't appear.
Type what you're looking for in “Search setting…” (for example “password” or “theme”).
Click the result.
More
With no tab selected, Settings shows one card per group; “All settings” takes you back there. Under the tabs, each page says whether it's “For your account only” or “For the whole clinic”.
When the strip goes away, reload the page if the data looks old.
More
The strip says: “Looks like you're offline. What you type now is not saved. The data on screen is from before.” It goes away by itself when the internet comes back.
On “Two-step verification”, click “I do not have my phone: use a backup code”.
Type a code in “Backup code”.
Click “Verify”.
More
You got the backup codes when you turned on verification; each works only once. “I have my phone: use the app code” takes you back to the code from your phone.
The yellow strip appears above the page as long as your account doesn't have two-step verification. It's a suggestion, not a blocker. The X hides it until you close the browser tab.
Some roles, usually those with broad access to data, require two-step verification; the administrator sets it per role in Settings → Team → Roles & permissions. Until you turn it on, after your password you only see this page and “Sign out”. On such a role, verification can't be turned off from your own account.
When “Install the app on this device…” appears at the bottom, click “Install”.
Confirm in the browser's window.
More
The app appears as an icon on the desktop or the tablet's screen and opens without the address bar — more room for the calendar. The strip appears in Chrome and Edge; the X closes it for good in that browser, after which you install from the browser's menu. In Safari, use “Add to Home Screen” from the Share menu.
They can give you the right in Settings → Team → Roles & permissions.
More
Every account has a role, and the role has a list of permissions. The app hides what you aren't allowed to do — a menu item, a tab, a button, a money figure on the Dashboard. The same rules are checked on the server: even if you reached a screen another way, the data wouldn't come.
If a whole section is missing for the entire team, the clinic has probably turned the module off (Settings → Personalization → Modules); the address of a module that's off sends you to the home page.
Open the link you received — “Ți s-a dat acces” (You've been given access) appears.
Type your password in “New password” (at least 12 characters).
Type it again in “Repeat the password” and click “Save password”.
Click “Go to sign-in” and sign in with your email and new password.
More
The link comes by email (if the clinic has email set up) or directly from the administrator. You choose the password yourself; nobody sees it, not even the administrator. The bar under the field shows how good it is: “Prea scurtă” (Too short), “Acceptabilă” (Acceptable), “Bună” (Good), “Puternică” (Strong).
Click “Copy the link” and send it to your colleague.
More
People who manage accounts see the button, only for members without an account and only if the colleague's entry has an email (otherwise it says “First add an email address”). The window also shows “Valid until”. If the clinic has an email server, the link has already gone out by email.
The alternative is “Create account”, with a temporary password shown only once. An invitation is safer: the password never passes through anyone's hands.
Click “Guide” at the bottom of the left menu — the guide opens on the dentflow.md website.
Type what you want to do in the search box.
Click the card you find and follow the steps.
More
The guide isn't inside the app but on the platform's website, in Romanian, Russian and English. The start page shows the most common tasks for the role you pick; ▶ next to a task opens the video that shows it. Search also works without Romanian diacritics.
If you can't find the answer, ask the AI assistant or the clinic's administrator.
At “What kind of practice do you run?”, choose “Solo practice”, “Practice with a front desk” or “Clinic”.
Click a role — under the buttons, “Suggested” shows the role that fits your choice.
More
The demo's data is fictional. Choosing the practice type only changes what shows in the menu; you can change it any time from the top bar, at “View”, where “Everything” shows all modules. “Sign-in details” shows each role's email and password, if you'd rather type them.
The demo sends nothing outside — no SMS, email or notification — and doesn't allow two-step verification.
