Patient portal

The patient's account at the clinic — appointments, requesting a time, documents to sign, payments and messages to the clinic.

For: patients, reception · The module must be switched on for the clinic

For the patient

How to sign in to the portal

  1. Open the portal address you got from the clinic's front desk.
  2. Enter the email address and password you got at the front desk.
  3. Click “Sign in”.
More

The front desk creates your account; you cannot sign up yourself. The portal works on your phone too.

You see only your own data. If you can't sign in, the page shows a phone number next to “Trouble signing in?”, if the clinic has filled one in.

How to request an appointment

  1. Open the “Request an appointment” tab.
  2. Under “Medic” (Doctor), choose the doctor and, if it appears, under “Serviciul” (Service) what you need.
  3. Under “Ziua” (Day), choose the date and click a free time.
  4. If you like, fill in “Reason (optional)” — for example, what hurts.
  5. Click “Send the request”.
More

“Your request has been sent” appears. Usually the clinic has to confirm the time: until then, the appointment shows as “Awaiting confirmation” and is not final. Some clinics confirm automatically; then the time shows as “Confirmed” right away.

Not sure which service to choose? Choose “— I don't know, let the clinic choose —”.

If someone else took the time in the meantime, the portal tells you and shows the free times again. “There are no free slots on this day” — try another day or another doctor.

The clinic can limit online requests (for example, at least a few hours ahead, or only for certain doctors). If the “Request an appointment” tab won't let you request a time, call the clinic.

How to see my appointments

  1. Open the “My appointments” tab.
  2. Read “Upcoming appointments”: date, time, service, doctor and status.
More

At the top, “In brief” shows “Your doctor” and the amount left “To pay”. Below are “History” (past or canceled appointments) and “Payment history”.

StatusWhat it means
Awaiting confirmationYou requested the time from the portal; the clinic has not confirmed it yet.
ConfirmedThe time is final.
DoneThe visit took place.
CancelledThe appointment was canceled.
No-showThe visit was booked, but you did not come.

How to cancel or move an appointment

  1. Open the “Message the clinic” tab.
  2. Write which appointment you want to cancel or move and when would suit you.
  3. Send the message.
More

You cannot cancel or move an appointment yourself in the portal: the front desk does it and replies in “Message the clinic” too. If the appointment is today or tomorrow, call the clinic — messages are read during opening hours.

How to sign a document

  1. Open the “Documents” tab. The number on the tab shows how many are waiting for your signature.
  2. Click the name of the document labeled “to sign” and read it.
  3. Type your full name under “Sign by writing your full name”.
  4. Click “Semnez” (I sign).
More

Write your name exactly as it appears on your record at the clinic. The signed document gets the label “Signed”.

The documents may include the privacy notice explaining how the clinic uses your personal data. In it you also choose whether to receive marketing messages; your treatment does not depend on your choice.

How to read or print a contract

  1. Open the “Documents” tab.
  2. Scroll to “Contracts and agreements”.
  3. Click “Print” next to the document you want.
More

The documents are filled in with your details. If a document has fields to fill in on paper, the portal shows how many there are and which ones.

How to see what I have paid and what I still owe

  1. Open the “Payments” tab.
  2. Read “Total paid” and “To pay”.
More

Below them is each payment, with date, method and doctor. A canceled payment shows as “reversed”, and its cancellation appears on a separate row (“reversal”), so you can see exactly what happened to each amount.

How to message the clinic

  1. Open the “Message the clinic” tab.
  2. Type your message in “Write here…”.
  3. Press Enter or click the “Send the message” arrow.
More

Someone at the front desk sees the message and replies here. If the message did not go through, the text stays in the box and you can try again.

What I see under “My smile”

  1. Open the “My smile” tab.
  2. Scroll: the dental chart, then reports, implants and images.
More
  • The dental chart, as your doctor filled it in. Read-only.
  • “Smile simulation”, if your doctor sent you one: how your smile could look after the proposed treatment.
  • “My imaging reports” — what was read on your X-rays, in plain language.
  • “My implants” — the implant card, with the batch number. Show it to any doctor who treats you.
  • “My images” — the X-rays and photos from your record. The links expire after an hour; if one stops working, reopen the page.

Some of these appear only if there is something to show.

How to change my password

  1. Click “Change password” at the top of the screen (or on the “Profile” tab, under “Security”).
  2. Enter your “Current password”.
  3. Enter the “New password” and “Repeat the new password”.
  4. Click “Change”.
More

The password must be at least 12 characters long. An easy-to-remember sentence makes a good password. After the change, your other open sessions are closed.

What to do if I forgot my password

  1. Call or visit the clinic's front desk.
  2. Ask for a new portal password.
More

The portal has no “forgot password” by email, so that nobody with access to your mailbox can read your medical record. The front desk sets a new password for you; the old one stops working. Once you are in, you can change it: How to change my password.

How to correct my phone or address

  1. Open the “Profile” tab.
  2. Under “My details”, click “Edit”.
  3. Correct “Phone”, “Email”, “Address” or your emergency contact.
  4. Click “Save”.
More

Your date of birth and IDNP (personal ID number) can be changed only at the front desk, where your ID document can be checked.

How to choose which messages I get from the clinic

  1. Open the “Profile” tab.
  2. Under “What messages I receive”, for “Service messages” and “Marketing messages”, choose “Yes” or “No” for SMS and for email.
More

“Service messages” are reminders, confirmations and check-up recalls. “Marketing messages” (offers, greetings, review requests) are sent only if you said “Yes”. Your choice is saved immediately.

For the clinic

What the front desk does for the portal

Access, passwords and messages are handled from the patient's record; appointment requests, from the Waitlist.

More

When a patient writes from the portal, the clinic gets a bell notification. The portal exists only if the clinic has the “The patient portal” module.

How to explain to a patient what they see in the portal

  1. Give them the portal address, their email and password.
  2. Show them the “Request an appointment” tab and the “Documents” tab.
  3. Tell them that a forgotten password is also requested from the front desk.
More

The “For the patient” section above is written for the patient: you can send them a link to it. The patient signs in on the same login page as the staff, but sees a different application, with only their own record.
