In “Patient”, type the name or phone and pick the patient from the list.
Choose the procedure in “Procedure”.
Check “Duration (minutes)”.
Click “Save Appointment”.
More
The “New appointment” window opens with the doctor, day and time already filled in. The “Programare” (Appointment) button in the toolbar (or “New appointment” in the Command Centre) opens it empty: you choose “Doctor”, “Data” (Date) and “Ora” (Time) yourself.
The “Procedure” list comes from the clinic's price list and fills in the duration and price by itself. If Settings → Services has a group named “Calendar”, the list shows only that group's services.
For the duration, − and + change it by 5 minutes; 30, 45, 60, 90, 120 are the usual lengths. An appointment lasts from 5 minutes to 10 hours.
“Notes (optional)” — e.g. “anxious patient” or “brings X-ray”.
The new card is marked “NOU” (New) for a few seconds, so you can spot it on a busy day.
If the save button is grey, the text under it says what is missing (“Alege pacientul din listă sau adaugă unul nou pentru a continua” (Choose the patient from the list or add a new one to continue), “Alege procedura pentru a continua” (Choose the procedure to continue), etc.).
In the appointment window, type the name in “Patient”.
If they are not in the list, click “Add a new patient”.
Fill in “Full name” and “Phone” (and “Date of birth”, if you know it).
Click “Save patient”.
Choose the procedure and click “Save Appointment”.
More
What you typed in the search moves into the right field by itself. The record is created on the spot and the appointment is linked to it.
Why: an appointment linked to a record reaches the patient's history, their plan, the payment screen and form 043/e (the dental patient record). One written with just a name reaches nothing.
If the phone number already belongs to another patient, the window tells you whose it is, as a clickable name: choose them so you don't create a second record for the same person. A parent and child can share a number — then go on with the new patient.
Drag it to another time or onto another doctor's column.
Let go: the appointment is moved.
More
In the “Week” view you can also drag the card to another day.
If the doctor already has an appointment at the new time, an overlap message appears next to the cursor, with “Move anyway” (if the clinic allows it) and “Cancel”.
From the appointment window: click the card, then “Edit”, change “Doctor”, “Data” or “Ora” and click “Save appointment”.
If the “Reprogramare” (Reschedule) rule is on in Settings → Notifications, the patient automatically gets a message with the new time.
Click “Waiting” while they are in the waiting room.
Click “In treatment” when they sit in the chair.
More
When you mark “Arrived” for a patient who has another appointment today, the app asks “The patient already has an appointment today” — “Yes, mark it” marks both.
“Running late” is for when the patient has called to say they'll be late. What each status means: How do I read the statuses.
In the patient's visit, confirm the procedures done and, if needed, the amount.
Click “Done — send to reception”.
More
With the “Marchează procedurile ca efectuate” (Mark procedures as done) permission (by default the doctor, assistant and front desk), “Completed” does not close the appointment on the spot; it opens the patient's visit, in treatment. The appointment is closed from there. Without that permission, “Completed” closes it directly.
Why: only what is confirmed at the chair becomes payable. An appointment closed without anyone saying what was done would not show up correctly for payment.
If the procedures have not been confirmed, the panel shows “Confirm the procedures (…)” (for the doctor) or “… unconfirmed procedures: the doctor or the front desk must state what was done, otherwise they do not appear for collection.”
If the clinic has chosen to confirm material use, the box with the materials from the technical sheet opens by itself on “Completed” — see How do I record the materials used.
Type at least two letters of the name or phone in “Search patient…”.
Click the appointment you want in the list under the field.
More
The search covers the whole calendar, not just the day on screen, and shows the date, time and doctor. On click, the calendar jumps to that day and opens its panel.
As you type, the cards on screen that don't match fade out.
Choose the reason from the list (or “Other…” and type it).
Click “Confirm no-show”.
More
The reason is optional, but it stays on the appointment (“Reason for no-show: …”). Why a list and not free text: so the clinic can count why it loses appointments. The clinic sets the list in Settings → Clinic → Schedule, “No-show reasons”.
If “Follow-up neprezentare” (No-show follow-up) is on in Settings → Notifications, the patient gets the message automatically.
The appointment stays on the day, in its colour, with the reason — leaving a record that the patient cancelled or the doctor was away. To take it off the schedule entirely, see How do I remove a mistaken appointment.
If the clinic has turned on “Auto-fill on cancellation”, “A slot opened up — who from the list?” opens right after cancelling — How do I offer a freed-up slot.
If “Confirmare anulare” (Cancellation confirmation) is on in Settings → Notifications, the patient gets the message automatically.
Click the red “Elimină” (Remove) button at the bottom of the panel.
Choose the reason.
Click “Confirmă eliminarea” (Confirm removal) (or “Nu” (No) if you changed your mind).
More
“Elimină” takes the appointment off the day — for example one made by mistake. It is not lost: you'll find it in Journal, the “Deleted” tab, and its panel shows “Restore”, which puts it back.
“change”, next to the patient's name, lets you pick another patient. Old appointments made without a record show “Appointment without record:” and ask you to pick the patient from the list.
The price comes from the price list and can be changed. A lower price than the list price is a discount and requires the “Aplică reduceri” (Apply discounts) permission; above the clinic's threshold, one more. Without the permission, saving is refused with a message. The price of plan procedures cannot be changed from the calendar.
Click “Collect payment for the procedures performed”.
Take the payment as usual.
Click “Receipt” to print the receipt.
More
The payment opens with the appointment's procedures already selected. “Receipt” prints the receipt for the payment linked to this appointment, not the patient's latest payment.
Open the appointment window and choose the patient.
Under “From the treatment plan”, tick the procedures being done now.
Check the duration.
Click “Save Appointment”.
More
The section appears only when the patient has an accepted treatment plan with procedures not yet booked (the teeth, price and duration of each). The price becomes the sum of the ticked procedures and cannot be changed here — it is the plan price. The duration is suggested from the plan, but you can change it.
You can also start from the patient's record: the booking button on a plan row (or on the ticked rows) opens the calendar with the patient and procedures already chosen. “Booking for: …” appears at the top — pick a free slot; “Cancel” cancels.
A plan procedure sits on one appointment only. If you tick one already booked on another day, “Procedure already scheduled” appears, with its day. “Move here” takes it off the old appointment and puts it on the new one.
The “Status” list in the appointment window puts the appointment straight into any working status — e.g. “Confirmed”, if the patient confirmed right on the phone, or “Arrived”, for a walk-in.
Read the message in the window: “Slot busy” or “Outside working hours”.
Choose another time or doctor, or
Click “Book over” / “Book anyway”, if it is on purpose.
More
“Slot busy” — the doctor already has an overlapping appointment; the window shows with whom. “Book over” helps with emergencies, when the doctor takes two patients at once.
“Outside working hours” — the time is not in the doctor's schedule. “Book anyway” saves it regardless, because sometimes the clinic stays late.
If the buttons don't appear and it says “The clinic does not allow overlapping appointments” or “The clinic does not allow appointments outside working hours”, the clinic has turned this off (Settings → Clinic → Schedule, “The calendar rules”).
In the new appointment window, tick “Recurring appointment (series)”.
Under “Repeats”, choose “weekly” or every how many weeks.
Under “Total visits”, choose how many appointments to create.
Check the line below them: how many will be created, the first and last date.
Click “Save Appointment”.
More
The interval can be 1, 2, 3, 4, 6, 8 or 12 weeks, with up to 24 visits. All the series' appointments are marked “NOU” (New).
If one of the later dates overlaps another appointment, it is not created; only the series' first date stops you with “Slot busy”. After saving, the “Series saved, with gaps” window says how many appointments were booked and which dates were skipped. Book those by hand, at another time or on another day, then click “Got it”.
Patients with a portal account can request an appointment themselves. It enters the calendar as “Requested by patient” — not as an accepted appointment — so nobody can fill a doctor's day with times the clinic has not agreed to. After “Scheduled” it is an ordinary appointment.
A doctor's schedule can have a block reserved for one type of work — e.g. mornings for consultations only. In such a slot, the procedure list narrows to the matching ones. It is not a ban: “Show all” brings the whole price list, for an emergency; “Only the allowed type” narrows it again.
Issue the consent from the patient's record, “Record” tab.
Give it to the patient to sign before the procedure.
More
Some procedures need a signed informed consent. If the patient has not signed it, the appointment window names it. The appointment can be saved without it.
Close the panel with ✕, Escape or a click outside it.
More
Just hovering over a card shows a summary. The panel, opened next to the card, shows:
the patient's allergies and alerts, before anything else;
“On radiographs, untreated:” — findings from imaging studies not yet treated, each linked to its study (only with the imaging report module and the “Vede ședința de dimineață” (Sees the morning huddle) permission);
the day, time, duration, the procedures with their price and the total (“achitat” (paid) if paid);
the patient's phone and the people who may be informed;
the appointment's notes;
“Patient details” and “Open visit” (or “Form 043/e is missing — open the visit”);
the status buttons;
“Materials used” (if the clinic uses the stock module);
at the bottom: “Edit”, “SMS”, “Send to chat”, “Duplicate”, “Elimină” (Remove).
Anyone with the “Vede jurnalul de activitate” (Sees the activity log) permission sees two tabs at the top: “Detalii” (Details) and “Istoric” (History).
Look at the colour of the strip on the left of the card: it is the status colour.
Compare it with the legend under the top bar.
More
Status
What it means
“Requested by patient”
The patient requested the appointment from the portal; not yet confirmed.
“Scheduled”
The appointment is booked.
“Confirmed”
The patient has confirmed they are coming.
“Running late”
The patient has said they'll be late.
“Arrived”
The patient is at reception.
“Waiting”
The patient is in the waiting room.
“In treatment”
The patient is in the chair.
“Completed”
The visit is over.
“No-show”
The patient did not come.
“Cancelled”
The appointment was cancelled but stays visible on the day.
“Emergency”
Chosen when booking, under “Status”, for an urgent case.
Signs on the card:
pulsing red — the patient hasn't arrived a quarter of an hour (or whatever the clinic chose) after the booked time; pulsing green — waiting in the waiting room;
“NOU” (New) — the appointment was just created, for a few seconds;
a room name (e.g. “Room 3”), with ⚠ when another appointment holds it at the same time;
after completion: a sheet with an exclamation mark — “Form 043/e not filled in”; a wallet — “To be paid at reception”; a list — “Unconfirmed procedures”.
The legend also shows how many appointments are in what you see (“12 azi” (12 today), “58 săptămână” (58 this week), “230 luna” (230 this month)). Breaks, blocks and cancelled appointments are not counted.
The clinic can change each status's name, icon and colour in Settings → Personalization → Statuses and colours. Statuses cannot be added or deleted: payments, form 043/e and reports depend on them.
Click “Send to chat” and choose the colleague or channel.
More
“SMS” opens the device's messaging app with the patient's number — you write and send the message yourself.
“Send to chat” sends the appointment (patient, day, time, procedure, doctor) to the team chat. It appears only if the clinic has team chat and you have the “Folosește chat-ul intern” (Uses internal chat) permission.
Automatic messages to patients — booking confirmation, the reminder beforehand, rescheduling, cancellation — go out by themselves, following the rules in Settings → Notifications. The demo clinic sends no messages at all.
You see every change, in words: who moved it, from what time to what time, another doctor, another price, which procedure was linked to it. “Detalii” (Details) takes you back to the panel.
Click the card that shows “Appointment without a patient record.”
Click “Create the record for …”.
If the app finds a matching record, click “Link to this record”.
More
The app first checks whether the person already has a record: if so, it shows it to you; if it is someone else, a new one is made. The other appointments with the same name and number are linked too.
Click “Zi” (Day), “Week”, “Month” or “Agenda”, top left.
More
“Zi” — all doctors side by side. This is where most of the work happens.
“Week” — the same grid over seven days. With several doctors, “Choose a doctor ↓” appears above: click a doctor's name to see their week in wide days; “All” brings everyone back. Click a day's header to open it in “Zi”.
“Month” — for each day, how many appointments and the first three names (“+… later” for the rest). Click a day to open it. Days the clinic is closed are marked “closed”.
“Agenda” — the week as a list, day by day, to read out on the phone to the patient. Free working days stay on the list as “liber” (free); the + button next to each day makes an appointment on that day.
The calendar remembers where you left off — the day, view, grid size and chosen doctors — while the browser tab is open. When you come back from a patient's record, you find the same day.
To bring them all back, open the menu again and choose “All doctors”.
Faster: in the day view, click a doctor's name in their column header — only they remain. A second click brings everyone back.
If the clinic has doctor groups, they are in the same menu, under “Grupe” (Groups): clicking a group leaves only its doctors — How do I make a doctor group.
Click “New group”, type the name and click the group's doctors.
Click “Save the groups”.
More
Groups belong to the clinic, are shared by everyone, and can also be changed in Settings → Personalization → Appearance. A doctor can be in several groups. “Start from specialties” suggests groups based on the specialty in the doctors' profiles; if the clinic has made no groups, the app suggests them this way by itself.
Click − or + to shrink or enlarge the grid's hours.
Click “Fit all” (in the day view) to narrow or widen the columns.
Choose “Cascaded” or “In columns” from the list next to them.
More
“Fit all” squeezes every column into the screen width; clicked again, the columns become wide and the grid scrolls sideways. The list chooses how two overlapping appointments are laid out.
These choices are yours and stay on the computer you work on. The card style (“Compact”, “Coloane egale” (Equal columns), “Lățime plină” (Full width)) is chosen in Settings → Account → Aspectul meu (My appearance).
Read the column header: the doctor's name and schedule (e.g. “09:00–18:00”).
Look for hatching: hours outside the schedule, with “From …” at the top and “to …” at the bottom.
More
☕ — the lunch break;
“🚫 unavailable” — an hour when the doctor is not available;
🌴 — approved leave, over the whole column;
the horizontal line — the current time.
Under the legend, a line says what to know about the open day: the reason, with 🚫, when the clinic is closed, or “Nicio programare în această zi” (No appointments on this day), with a prompt to click a free slot.
A click in the hatched area still makes an appointment — the clinic sometimes stays late — but saving shows “Outside working hours”.
Click the schedule under the doctor's name (e.g. “09:00–18:00 ✎”).
Change “Start time” and “End time”, if needed.
Under “Break — only for …”, move the break or click “No break”.
Under “Blocks / slots”, click “+ Add block / slot” and enter the range.
Click “Save”.
More
“Start time” and “End time” are the doctor's schedule. The break and blocks apply only to the open day; the other days keep what is in the doctor's profile.
A block with a name (e.g. “Room 3”) is part of the schedule, drawn with its name; “Allow only” reserves it for one type of work (e.g. “Consultations”).
A block without a name is time when the doctor is unavailable (“🚫 unavailable”) — it is not offered under “Free hours” or in the portal.
“Repeats”, with the days ticked (Lu … Du, i.e. Mon … Sun), puts the block on those weekdays; with no day ticked, it is “only today”.
Open Settings → Account → Programul meu (My schedule).
Move between weeks with the arrows or “This week”.
More
You see your working hours, lunch break, blocks, the days the clinic is closed, your leave and the shifts or on-call duties of each day — as the clinic set them. The screen only shows; the administrator changes the schedule.
The order is saved for the whole clinic — it is the same as in Settings → Team → Members. Requires the “Editează fișele de personal” (Edit staff records) permission.
In the “Zi” view, click “Cabinet comun” (Shared room) in the toolbar.
Tick the doctors sharing the room today.
Click “Combină” (Combine).
More
Their columns stay separate, each with their own patients, but are coloured the same, with “Cabinet comun” in the header. “Desparte” (Split), in the window or the column header, separates them. The mark is only for the open day and only on your computer.
The button appears only at clinics that have this feature and when at least two doctors are on screen.
Open Settings → Team → Members and click the doctor.
Tick “Show in the calendar”.
Save.
More
The calendar shows only team members with this tick. If no doctor appears, the screen says “No doctor shown in the calendar.” A doctor on approved leave appears with the column covered by 🌴.
A table prints with the time, patient, phone, service, doctor, status and latest note — to put on the treatment room door. Cancelled appointments and blocks are left out. The month does not print, since it only shows the first names of each day.
If the browser blocks the print window, allow pop-ups for the app and try again.
