Questions people usually ask

What clinics ask most: about the price and storage, about moving data across from your current software, about form 043/e, and about what happens if something goes wrong.

How long before we can start working?

We open your account the same day. Moving data across from your current software usually takes a few working days, depending on the shape of the export you give us.

Who moves the data from the old software?

We do. You send us an export or a copy of the database, and we put the patients, appointments and payments where they belong. We already import from SetMore and EasyPlan; from other software we work with whatever export you can give us. At the end you check it is all as it should be. On the day you start you already have the full history, not an empty application.

Who trains the team?

Start-up training is included: one session with reception and one with the dentists, online or at the clinic if you are in Chișinău. That is usually enough; if you want more, we agree on it separately.

Does it work on a phone or tablet?

It opens in a browser, on a computer and on a tablet. There is nothing to install, and it makes no difference whether you use Windows or a Mac.

What happens after the 7 days?

Nothing is deleted and nothing locks automatically. We talk, and you decide whether to carry on. If it isn't for you, we hand over your data and you leave with it.

How is the price calculated?

1,000 MDL a month for a clinic of up to two treatment rooms, and 600 MDL for each room from the third onwards. You do not pay per user: how many dentists and assistants work in a room does not change the invoice. Paying a year upfront gives you 20% off, two years upfront 25%. The only things billed on top of the subscription are SMS to patients and storage or transfer used beyond what is included.

Does it know about form 043/e?

Yes. It fills in from the dentist's work and you print it straight from the patient's record. This is the reason we built the software here instead of buying one from abroad.

What do I do if something breaks?

You call or write, and the team that built the software answers — not a support desk that opens a ticket. Support works Monday to Friday, 09:00–18:00 Chișinău time.

What do SMS messages to patients cost?

0.38 MDL per message sent, to Moldovan numbers only — the service is not available for international numbers. It is invoiced monthly by the number actually sent, as a separate line. In-app and Telegram notifications are included in the subscription.

Do you build a website for the clinic too?

Yes, with +Starter: a website in your clinic’s colours with your logo, services and dentists’ photos, which we adjust up to 5 times until you like it. It costs 350 EUR, once. We publish it on the clinic’s domain (the site’s address, e.g. clinica-ta.md) and its hosting (the place the site lives on the internet) — if you have neither, we help you choose at no charge, and you pay only the providers.

How much space do I get for radiographs and documents?

The included allowance grows with the clinic. A clinic of up to two rooms gets 10 GB for files (radiographs, photos, scanned documents), 2 GB for the database and 25 GB of transfer a month; each room from the third onwards adds 5 GB of files, 1 GB of database and 10 GB of transfer. The calculator on the pricing page shows exactly what you get. Above those limits it is billed on what you actually use: 15 MDL per 10 GB of files, 25 MDL per 1 GB of database, and 10 MDL per 10 GB of transfer. Storage is read once a month and grows over time, because radiographs and documents are kept for years — we never delete anything to bring it down, and we tell you before you cross the limit.

Where is the clinic’s data kept?

On servers in the European Union, at DigitalOcean, in the Frankfurt data centre (Germany) — the software, the database and the uploaded files all sit there. The connection between browser and server is encrypted, and backups run automatically every day and are kept for seven days. The data stays yours: you can export it at any time, and when you leave we hand over the full export at no charge.

Who can see patient data?

Only the people the clinic gives access to, and only what it gave them. Each employee has their own account, permissions are granted by role, and deletions and important changes stay in the audit log. Our technical staff enter a clinic’s data only when you ask for help, and only as far as solving the problem requires. The clinic is the controller of that data; we are only the processor.

If I leave, do I take my data with me?

Yes. On termination we hand over the full export in a workable format at no charge*, and keep the data for a further 60 days so you have time to collect it. After that we delete it. Downloading the export counts towards the month’s transfer, like any download from the software — we charge no fee for the export itself, but data leaving does use transfer. If you want it kept longer — for statutory retention periods, say — we will do that by written agreement, for a fee. The duty to retain medical documentation stays with the clinic; the export is how you meet it. * We charge nothing for the work of exporting. For very large volumes of data we reserve the right to invoice the additional effort and the transfer used — we do not do so automatically, and if it comes to that we tell you beforehand and agree the amount.

Does it work for a clinic with several branches?

Yes, several branches can work in one account, each with its own rooms, staff and stock. The price is calculated on the total number of treatment rooms. If you run a larger network, write to us and we will work it out together.

What does the AI assistant cost, and what data does it use?

The assistant is switched on only if you ask for it, and is paid for on what you use: at the end of the month we see the usage and add it to the following month’s invoice as a separate line. We do not publish a fixed rate, because the price follows the model provider’s inference cost, which changes; we commit to staying within ±10% of the provider’s price and will show you that whenever you ask. If we see unusual usage, or usage that looks like abuse, we may limit or switch the feature off — precisely so you are not left with an invoice you did not want. To answer, the assistant sends the model provider only what the question requires — and that can include data from the clinic’s software, patient data included. The details are in the Privacy policy.
