Dental laboratory

Work sent to the lab — on a board with stages, from sending to delivery to the patient, with due dates, files, remakes and debts to labs.

For: doctors, assistants, reception, managers · Requires the „Vede comenzile de laborator” permission · The module must be switched on for the clinic

Day-to-day work

How do I send work to the lab

  1. On Dental laboratory, click “Send work”.
  2. Choose “Work type” and “Laborator” (Laboratory).
  3. Find the patient in “Pacient” (Patient) and fill in “Teeth” and “Culoare” (Shade).
  4. Check “Turnaround time” and write a “Note for the technician”.
  5. Click “Send to the lab”.
More

The work type fills in the name (“Lucrarea” (Work)), prices and due dates by itself. You can also fill in “Pieces”, “Medic” (Doctor), “Sent on”, “Lab cost”, “Patient price”, “Responsabil” (Assignee), “Etichete” (Labels) and “Lab invoice no.”.

“Turnaround time” is the date the lab promised: after it, the work shows as overdue. “Due dates per stage” are worked out from the type, the lab and the stage durations, but you can change them.

“Lab invoice no.” groups work for payment: all work on the same invoice is paid together.

The button requires the “Trimite lucrări la laborator” (Send work to the lab) permission.

How do I send work from the patient record

  1. In the patient record, on the “The patient's details” tab, find the “Laboratory works” card.
  2. Click “Send work”.
  3. Fill in the work as usual and click “Send to the lab”.
More

The window opens with the patient already chosen. From the treatment plan, the lab button on a row (“Order the work in this row from the laboratory”) also brings the row's work, teeth and doctor.

The card shows what has gone out for this patient, with the “late” and “attended ✓” badges.

How do I mark that work has come back from the lab

  1. On the “Comenzi” (Orders) tab, find the work's card.
  2. Drag it into the “Gata, de ridicat” (Ready for pickup) column.
More

The column name is chosen by the clinic; what matters is that the stage has the “Received at clinic” status. The app records the date received, and the work's doctor gets a message in the bell — unless they moved the card themselves. In the patient record, the work shows “attended ✓”.

Work that needs a try-in then goes through “La probă” (Try-in) before delivery.

How do I move work to the next stage

  1. Drag the card into the next column.
  2. Or: click the card and then “Move to “…””, with the stage name.
More

The app accepts only moves that make sense: work cannot be delivered before it is received at the clinic (and tried in, if its type needs a try-in). If you try, it tells you why, above the board.

Moving to “Livrat pacientului” (Delivered to patient) closes the order and records the delivery date.

Sending and moving require the “Trimite lucrări la laborator” (Send work to the lab) permission.

How do I see where each piece of work is

  1. Open the “Comenzi” (Orders) tab.
  2. Narrow the board with the filters at the top, e.g. “Overdue only” or “My works”.
More

The columns are the clinic's stages. On the card: the patient, the work, the due date and, where relevant, the route stage, ticked checks, comments and the assignee. The due date's color tells you what is due within three days, what is less than a week late and what has been waiting over a week. Above the board you see how many works are past the promised date.

Filters:

  • “All laboratories”, “All doctors”, “All labels”;
  • search by patient, work, tooth or number;
  • card order: “Manual order”, “By due date”, “By patient”, “Newest first”;
  • “Group by color”: “No grouping”, “By laboratory”, “By doctor”, “By assignee”;
  • “Show recently delivered and cancelled”.

Behind each stage is one of six fixed statuses:

StatusWhat it means
Sent to labthe work has left; every order starts here
At the technicianthe lab is working on it
Received at clinicit came back from the lab; the date is recorded
Try-in with patientit is in the clinic, at the try-in
Delivered to patientcloses the order and records the delivery date
Cancelledleaves the active works

How do I send work back to an earlier stage

  1. Drag the card back to the column you want.
  2. Write the reason in “Why is it coming back?”.
  3. Click “Redeschide” (Reopen).
More

The reason stays in the work's trail (e.g. the try-in did not fit).

Delivered or cancelled work is reopened from its window, with “Reopen in “…””: delivered work goes back to the clinic, work cancelled by mistake goes back to the start.

How do I attach files to a work

  1. Click the work's card and find the “Files” section.
  2. Choose “Sent to the lab” or “Received from the lab”.
  3. Click “+ Upload” and choose the files.
More

For scans, photos or the lab's result. If the patient has imaging studies, “From the patient's studies” lets you choose a study and attach its files with “Attach”. A CBCT goes to the lab as a case package, from the 3D viewer.

How do I request a remake under warranty

  1. Click the work's card.
  2. Click “Remake under warranty”.
  3. Write the “Reason for the remake” and click “Remake under warranty”.
More

A new order is created, linked to the original one, at zero cost. That makes the remake rate per lab measurable, and it shows in the report.

How do I work in a work's window

  1. Click the card.
  2. Use the section you need: “Work order”, “Deadlines”, “Checks”, “Files” or “Comentarii” (Comments).
More

The window shows the patient (with a link to the record), the lab, teeth and shade, the date sent and the due date, the note and — with the cost permission — “Cost / price”. Below:

  • “Responsabil” (Assignee) and “Etichete” (Labels) — who is responsible for the work and its colored tags;
  • “Work order” — the printable slip that goes in the box with the impression;
  • “Edit work” — correct the sending details;
  • “Deadlines” → “Edit” → “Save the due dates” — the final due date and the per-stage ones;
  • “Trail” — every stage the work went through and how many days it spent in each;
  • “Checks” — the checklist (e.g. shade confirmed with the patient); add a row with “Add a check”;
  • “Comentarii” (Comments) — messages for the team, with “Trimite” (Send).

How do I cancel a work

  1. Click the work's card.
  2. Click “Cancel order” and confirm.
More

The work leaves the board and the active works, but stays in the trail and in the report, with everything paid so far. Only work that has not yet reached the patient can be cancelled: delivered work is a fact.

How do I find an old work

  1. Open the “Archive” tab.
  2. Search by patient, work, tooth, number or lab.
  3. Click the work to open it.
More

The board keeps delivered or cancelled work for only 30 days, and only with “Show recently delivered and cancelled” ticked. Older work is in “Archive”.

Money and reports

How do I pay a lab

  1. Open the “To pay” tab.
  2. Click “Pay” on the invoice row.
  3. Enter “Amount” and click “Pay”.
More

“Debts to laboratories” shows what has not been paid, by lab and by invoice: how many works, the date of the oldest, the total, how much was paid and the rest. A partial payment leaves the rest on the list.

The debt is built from the “Lab cost” of each work not cancelled — which is why the right price at sending and the “Lab invoice no.” on works from the same invoice matter.

The tab requires the “Vede costurile și achită laboratoarele” (See costs and pay labs) permission.

How do I see what I have paid labs

  1. Open the “To pay” tab and scroll to “Payments made”.
  2. Choose the period in “From” and “To”.
  3. Export with “CSV”, for accounting.
More

Every payment stays here: the date, the lab, the invoice, the amount and who paid.

How do I compare labs

  1. Open the “Raport” (Report) tab.
  2. Choose the period and the breakdown: “Laboratoare” (Labs), “Etape” (Stages), “Etape pe laboratoare” (Stages by lab), “Medici” (Doctors), “Tipuri de lucrări” (Work types), “Lunar” (Monthly) or “Întârziate acum” (Overdue now).
More

“Lab reports” shows the works, cost, amount collected, margin, average days, delays, remakes and cancellations. The remake rate tells you whether a lab is worth working with; the stage with the most average days is where time is lost.

The tab requires the “Vede costurile și achită laboratoarele” (See costs and pay labs) permission.

Configuration

How do I add a lab

  1. Open “Configurare” (Configuration) and click “Laborator” (Laboratory).
  2. Fill in “Denumire” (Name) and choose “Tipul” (Type).
  3. Fill in “Contact person”, “Telefon” (Phone), “Email”, “Adresa” (Address) and “Usual due (days)”.
  4. Click “Save”.
More

“Tipul” is “External (has invoices)” or “In-house (own technician)”; for an in-house one, also choose “Tehnicianul” (Technician). For a lab you no longer work with, untick “Activ” (Active): it stays in the history but no longer appears for new work.

How do I add a work type

  1. In “Configurare” (Configuration) → “Work types”, click “Work type”.
  2. Fill in “Denumire” (Name), “Categorie” (Category), “Regular laboratory”, “Cost (lab)”, “Price (patient)” and “Due (days)”.
  3. Tick “Request shade” and “Request try-in”, as needed.
  4. Click “Save”.
More

Under “The route on the board”, untick the stages this type does not go through. Under “Checks on each order”, write one check per line — they are copied onto every new order of this type.

How do I change the board's stages

  1. On the board, click a column's name to rename it.
  2. Drag the column header to move it.
  3. From the column's “⋯” menu: “Duration and type”, “Add stage after this one” or “Delete stage”.
More

The same from “Configurare” (Configuration) → “The work's stages” (the “Stage” button). “Add stage”, at the end of the open stages, adds a new one; the “⋯” menu also has “Move left” and “Move right”.

In “Duration and type”: “What the stage means” (the fixed status behind it), “Usual duration (days)”, used to work out due dates, “Work limit”, above which the column header changes color, and “Column color”.

The first stage is the sending one; “livrat” (delivered) and “anulat” (cancelled) stay at the end and can only be renamed. A stage with work in it can be deleted only after you choose where that work moves.

How do I choose who is notified when work enters a stage

  1. On the board, open the column's “⋯” menu → “Duration and type”.
  2. In “Notification when a work arrives”, choose who gets the message.
  3. Click “Save”.
More

The options:

  • “The doctor, when the case arrives at the clinic” — default: the work's doctor, only when it enters a stage where the work is in the clinic (received or at try-in);
  • “The case's doctor” — the doctor, on entering this stage;
  • “The case's owner” — the assignee chosen on the work;
  • “Entire team” — everyone who sees lab notifications;
  • “Nobody”.

The message arrives in the bell. Whoever moves the work does not get notified of their own move.

How do I make labels for works

  1. Open “Configurare” (Configuration), the “Etichete” (Labels) card, and click “Label”.
  2. Write the “Denumire” (Name) (e.g. Urgent) and choose a “Culoare” (Color).
  3. Click “Save”.
More

Labels are put on a work when sending it or from its window, and are filtered on the board with “All labels”.

How do I find out why I do not see a tab or button

  1. Find what you want to do in the table below.
  2. Ask the administrator for that permission.
