Journal and notifications

Who did what in the clinic, what changed in the data and how to bring back what was deleted; plus the notification bell and the shared task list.

For: reception, doctors, assistants, managers

Deleted records

How do I restore a deleted record

  1. Open “Journal” → the “Deleted” tab.
  2. Narrow it down, if you like, with “All types” (for example “Programare” (Appointment), “Pacient” (Patient), “Document de personal” (Personnel document)).
  3. Find the row and click “Restaurează” (Restore).
More

The record goes back to the list it came from — the appointment to the calendar, the patient to the patient list. The tab covers the last 90 days.

In the app, anything with clinical or financial meaning is never fully deleted: an appointment, a patient, a payment plan, an expense, a radiograph, a personnel document, a protocol, a candidate and more go to “Deleted”.

How do I find out who deleted something and why

  1. Open “Journal” → the “Deleted” tab.
  2. Read the row: the type, what it was, “deleted by” whom, when, and the reason given at deletion.
More

If the record had an amount, the row shows it too.

Team activity

How do I see what happened in the clinic today

  1. Open “Journal” → the “Activity” tab.
  2. Click “Today” (or “7 days”, “30 days”), or pick the period in “From” and “To”.
More

At the top is a short summary of the period: how many actions, how much was collected, how many appointments were created and how many were moved or deleted. Below are the team members with their action counts, then the days. Today is expanded; the other days expand on click. Each row has the time, who did it, what happened, and the patient and amount where relevant. “Sistem” (System) means an action the app took by itself, not a person.

How do I see only what one colleague did

  1. On the “Activity” tab, click their name in the list of people at the top.
  2. Or pick them in the “The whole team” list.
More

Clicking the name again removes the filter. The “All sections” list narrows to “Patients”, “Patient record”, “Appointments”, “Financial”, “Inventory”, “Dental lab”, “Human resources” or “Settings”.

How do I search for a specific action

  1. On the “Activity” tab, pick the period.
  2. Type a name, a patient or a word in “Search in activity…”.
More

The search covers the whole selected period, not just the rows on screen. For a long period, click “Load the following” at the end of the list. “Reset” clears all filters.

How do I export the journal to Excel

  1. On the “Activity” tab, pick the period and filters.
  2. Click “Export CSV”.
More

It downloads the whole filtered period, not just what is on screen: date, time, who, section, what happened, patient and amount. One export stops at 20,000 rows — for the rest, choose a shorter period.

How do I see exactly what changed in a record

  1. Open “Journal” → the “Changes” tab.
  2. Pick the period and, if you know it, “All data” → the kind of data (for example “Patients”).
  3. Under “Any action”, optionally pick “Addition”, “Modificare” (Change) or “Deletion”.
  4. Click “Show the field” or “Arată N fields” (Show N fields) on the row.
More

You see the old and the new value of each field. The “Changes” tab is written by the database, not the app, so it catches any change — including one made outside the app. Where “Activity” tells you _what_ was done, “Changes” tells you _exactly which values_ changed.

The notification bell

How do I read and dismiss notifications

  1. Click the bell in the top bar.
  2. Click a notification to go straight to its screen.
  3. Click “Mark all” to mark them read, or the cross (“Remove notification”) to remove one.
More

Everyone has the bell; no permission is needed. It collects what needs attention: an appointment request from the portal, a lab case, low stock, an imaging study, a checkup alert, an approaching deadline. Notifications are grouped by category, newest first. The number on the bell shows how many are unread; a new notification also pops up as a short message in the corner of the screen, with a sound.

The cross removes the notification only from your list, not from your colleagues'.

What do the deadlines in the bell mean

  1. Click the bell.
  2. Click the deadline notification — it takes you to the screen where it is handled.
More

Every day, the app posts to the bell what is expiring or coming due:

WhatHow far aheadWho gets itWhere it leads
an expiring personnel document (“… expiră pe …” (… expires on …))the clinic's window (60 days by default)whoever has “Editează fișele de personal” (Edits personnel files)HR → Documents
servicing of a sterilizer14 dayswhoever manages sterilizationInventory → Sterilization
servicing of a fixed asset14 dayswhoever manages expensesEconomy → Fixed assets

The documents' window is the one set in Settings → Team → Leave and documents — the same one the “Documente” tab counts by. Deadlines appear in the bell under the “Due dates” category.

Each deadline is announced once at the start of the window, once a week before, and once on the due date (or after, if it has passed). Once the document is renewed or the servicing is done, the count starts again from the new date. Deadlines appear only in the bell — no SMS, email or browser notification is sent.

How do I mute the sound or set quiet hours

  1. Click the bell.
  2. Click “Sound on” to turn it off (it becomes “Sound off”).
  3. Or click “Quiet hours” and choose the time range.
More

During quiet hours nothing rings and no desktop alerts appear; the number on the bell and the list stay. These choices belong to the computer you make them on, not to your account.

How do I get notifications when the app is not open

  1. Click the bell.
  2. Click “Get notifications even when the tab is closed” and allow it in the browser.
  3. Click “Test” to receive a test message.
More

“Desktop alerts” shows notifications as system messages while the app is open in another tab. “Get notifications even when the tab is closed” sends them even when the app is closed; “Stop” turns them off.

Task list

How do I add a task for the team

  1. On “Dashboard”, under “To do”, type the task (for example “order size M gloves”).
  2. Click “Add”.
More

The list belongs to the whole clinic: what you add, the whole team sees. The same list is in “Command Centre”, under “Tasks”, where you type a task in “New task...” and add it with “+”.

How do I check off or delete a task

  1. On “Dashboard”, under “To do”, check the task when it is done.
  2. To delete it, click the trash can on its row.
More

A checked task stays in the list, struck through; uncheck it if you checked it by mistake. In “Command Centre”, checking it removes it from “Tasks”.

How do I fix the text of a task

  1. Click “Command Centre” in the top bar.
  2. Under “Tasks”, click the pencil (“Edit”) next to the task.
  3. Type the correct text and press Enter.
More

Escape cancels the edit.
